Booking apps and WhatsApp agents solve different problems. What each one does, when booking software is enough and when it is worth adding an agent.

If you are looking for booking software for your hair salon, barbershop or beauty salon, you probably want to stop writing appointments in a notebook and let clients book on their own. That is a good call. But before choosing, it helps to be clear about the problem you want to solve, because two tools look similar and do different jobs: booking software and a WhatsApp booking agent.

What booking software does

A booking app or system (Booksy, Treatwell, Fresha and the like) is, above all, an online diary:

  • Clients see free slots on a website or app and book.
  • You manage each staff member’s diary from your phone or computer.
  • It usually includes automatic reminders and client records, and sometimes payments and packages.

It works very well when clients come in to book on their own. If your clients are used to opening a link and picking a time, booking software tidies up your diary and saves you a lot of calls.

Where it falls short

The catch is that many people do not book that way. They message you on WhatsApp. They ask how much a colour costs, whether you have a slot on Saturday or whether you do keratin treatments, and they wait for someone to reply.

With booking software, those messages still land on your phone and you still answer them yourself, between clients. You can reply with your booking link, but:

  • You still have to reply, and sometimes the reply comes too late. If someone messages several places, they tend to go with whoever answers first. More on that in bookings lost to slow replies.
  • Not everyone wants to download an app or sign up to book.
  • Questions are not bookings. “How long do highlights take?” or “does laser hurt?” cannot be answered by a calendar.

What a WhatsApp agent does

A WhatsApp booking agent is an AI assistant that replies on your own WhatsApp Business, in your tone, at any hour:

  • It answers prices, opening hours, services and common questions.
  • It checks your free slots and books the appointment in the chat, with no links or apps.
  • It sends the reminder, and the client can confirm or change the booking in the same chat.
  • When it does not know something, or the topic is sensitive like an allergy, it hands the conversation to you instead of making up an answer.

Booking software is enough if most clients already book through a link, you get few messages with questions and what you need is to organise the team’s diary.

A WhatsApp agent makes sense if almost everything reaches you on WhatsApp, you answer messages after closing or on breaks, and you notice bookings slipping away because you could not reply in time.

Often the best answer is both. If you already use booking software and it works, there is no need to replace it. If your software can connect to other tools (it has an API), the agent can book straight into it: the client asks and books on WhatsApp, and the appointment shows up in your usual diary. If it cannot, Google Calendar works, or we look at another way to connect it.

Three questions before you decide

  1. How do clients book today? For one week, count how many bookings arrive by link, by WhatsApp and by phone.
  2. How many messages do you answer after hours? If it is a lot, the problem is not the diary, it is the conversation.
  3. Does your current software have an API? If so, you can add the agent without changing anything that already works.
