If clients book on WhatsApp while your hands are busy, some bookings slip away. How to measure it and what to do, from simple fixes to automation.
It is half past eight in the evening. You close up, pick up your phone and find eleven unread chats. Three ask for prices, two want a Saturday slot, one asks whether you do balayage and another wrote at four o’clock asking to come in “today if possible”. Your reply is no use to that one any more.
In a barbershop, a hair salon or a beauty salon, the phone always buzzes when you cannot pick it up: clippers in hand, colour on, or in the middle of a treatment. It is not a lack of interest. You simply work with your hands.
Why those bookings get lost
When someone wants to book, they usually want it sorted quickly. If they message two or three places at once, they tend to go with whoever offers a time first. That place does not have to be better than you. It just has to reply sooner.
On top of that, three situations come up all the time:
- After-hours messages. Many people book in the evening or at the weekend, when they finally have a moment. If the reply arrives the next morning, they may already have booked elsewhere.
- Questions left hanging. “How much is it?” looks minor, but it is often the first step towards a booking. If it is not answered quickly, the conversation goes cold.
- Messages that slip through. Between voice notes, reference photos and personal chats, some messages sink to the bottom and you only see them days later.
How to find out how often it happens to you
Before changing anything, measure it for two weeks. You need no tools, just a note on your phone or a sheet of paper by the till.
- Write down when each booking or price enquiry arrives, and when you reply.
- Mark the ones that do not end in a booking and, if you can, why: no reply, already booked elsewhere, too expensive…
- Count how many arrive after hours or while you were working.
That gives you your own numbers, which are worth far more than any general statistic. If many of the conversations that go nowhere match late replies, you know where the problem is.
What to do, from simple to automatic
1. Get more out of WhatsApp Business
The free WhatsApp Business app already includes features many businesses never use: an away message for after-hours enquiries, quick replies with your prices, hours and directions, a catalogue of services and prices, and labels to mark pending chats. It costs nothing. Its limit is that you still depend on having a moment to reply.
2. Block time for your phone
Some businesses keep ten minutes between certain appointments just for messages. It works, but that slot is no longer an appointment.
3. A booking link
If your booking software offers online booking, put the link in your profile, your away message and your quick replies. People in a hurry can book without waiting for you. Many still prefer to ask first, though, and those questions still need answers.
4. A booking agent on your WhatsApp
The next step is an AI assistant connected to your WhatsApp Business. It answers with your information (services, prices, hours, cancellation policy), checks your free slots in the calendar and books the appointment. If someone asks something it does not know, like a delicate question or a complaint, it hands the chat to you. Unlike the other options, it replies at four in the afternoon or eleven at night, without you putting anything down.
What not to automate
Automating does not mean stepping away. Some conversations should stay yours: an unhappy client, a question about an allergy or sensitive skin, someone who wants to talk to you before a big change. A good system recognises them and passes them on instead of improvising.
Where to start
If you only do one thing this week, measure. Two weeks of noting messages and replies will tell you whether a well-configured WhatsApp Business is enough or whether something more makes sense.
